Position Overview: We are seeking a highly organized and proactive Executive Assistant/Office Manager to support our executive team and manage daily office operations. The ideal candidate will excel in multitasking, possess strong communication skills, and have a keen ability to maintain professionalism in a fast-paced environment.

Key Responsibilities:

1.   Executive Support:

  • Provide administrative support to executives, including calendar management, scheduling meetings, and coordinating travel arrangements.
  • Prepare and edit correspondence, reports, and presentations.

2.   Office Management:

  • Oversee daily office operations, ensuring a productive and efficient work environment.
  • Manage office supplies inventory and procurement, ensuring cost-effectiveness.
  • Implement and maintain office policies and procedures.

3.   Communication:

·        Serve as the primary point of contact for internal and external communications.

·        Liaise with clients, vendors, and other stakeholders on behalf of the executive team.

4.   Event Coordination:

  • Plan and organize company events, meetings, and team-building activities.
  • Coordinate logistics, including venue selection, catering, and materials preparation.

5.   Project Management:

  • Assist in the management of special projects, ensuring deadlines are met and objectives are achieved.
  • Maintain project documentation and provide updates to relevant stakeholders.

6.   Financial Administration:

  • Support budget tracking and expense reporting for the executive team.
  • Assist with invoice processing and vendor management.

Qualifications:

· Bachelor’s degree in Business Administration or related field preferred.

· Proven experience as an Executive Assistant or Office Manager, preferably in a corporate environment.

· Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

· Excellent organizational skills and attention to detail.

· Ability to prioritize tasks and manage time effectively.

· Strong verbal and written communication skills.

· Discretion and confidentiality in handling sensitive information.

Work Environment: This position offers a partially remote work arrangement, allowing flexibility in your schedule. As the business grows and evolves, there will be a transition to a fully in-office setting to foster collaboration and team engagement. Candidates should be open to adapting to this change as we expand our operations.
